Marketing Operations Makeover
tech chaos holding your business hostage?
For coaches, consultants, and holistic practitioners whose systems have become the bottleneck.
You know your business could be growing faster. The strategy makes sense. The offer is solid. But somewhere between “someone found your website” and “someone became a client,” things are falling through the cracks.
In client work, I consistently see owners whose marketing systems are actively working against their growth. Clients using six platforms to sell one product, CRM messes…. overpaying and underperforming.
That’s what this engagement fixes: get a deep-dive audit of your marketing ecosystem, a custom report, and a strategy review so you know exactly what to do first.
Starting at $2,500
You’re not failing. Your systems are holding you back.
You’re juggling so.many.tabs: email platform, scheduler, course platform, payment processor, proposals, CRM, analytics. Your platform list is growing… but your business isn’t.
The worst part? You’re doing the marketing. You’re showing up. But the systems underneath don’t support the growth you’re working toward. Leads come in and fall through cracks. You can’t foster what you can’t see.
Most marketing advice tells you to “pick the right platform” or “watch this funnel tutorial.” This doesn’t solve the root problem.Â
Your business has outgrown the systems it’s running on. Until you fix the infrastructure, growth hits the same ceiling every time.
Is an operations makeover right for you?
You don’t need to be in crisis. But this audit helps most when your systems have become the thing standing between you and growth. If you’re ready to invest in professional support, learn how to hire a marketing consultant who gets where you’re headed.
Business owners whose marketing is active but results have plateaued, and you can’t figure out why
Solopreneurs who’ve layered on software over the years without ever auditing whether it supports where the business is headed
Anyone whose systems collapse when they have a hard week (because the system lives in their head, not in documented processes)
Entrepreneurs preparing to scale, launch, or restructure, and need infrastructure that can handle the next stage

Above & Beyond
Jen went above and beyond what I expected. Her review and the report were so detailed, yet easy to understand. Jen walked me through the whole thing and answered all my questions in a language I could understand. She gave me tons of suggestions and useful pointers on how to “fix” things myself. I loved working with Women Conquer Business and I’m excited to work with them some more.

Why “more tools” won’t fix your broken backend
Most solopreneurs think the solution is adding another tool or following a new funnel tutorial. But the real problem is misaligned systems that never got a proper review.
I used to believe the answer was another plugin or a smarter funnel trick. So did my clients. But the more systems they layered on, the messier things got. (I saw the same pattern at the City of Portland, where I spent nearly nine years untangling institutional systems. The scale is different. The problem is identical.)
It’s not about the tools. It’s about whether the tools can support where your business is going.
We run every tool through the 3 C’s Framework before recommending you keep, cut, or replace it:
- Capacity: does this tool require more time and energy than it returns? Consider implementing time blocking for marketing to protect your capacity.
- Complexity: is it more sophisticated than your business needs?
- Control: does it help you build owned assets, or keep you dependent on a platform you don’t control? Learn about Squarespace domain limitations and why owning your digital assets matters.

Marketing Tech Pro
It takes a real expert to break down tech and marketing for people who don’t consider themselves tech savvy at all, but even with my tech and marketing background, I still learn from her all the time. Jen has the credentials and experience to back it up. I cannot recommend her enough.

What the audit uncovers
Here’s four examples of what we might find.
System overlap review
Before: You switch between five systems to move one lead to the next step. Several tools overlap. You’re paying for capacity you’ll never use.
After: We show you which tools can be axed, combined, or streamlined.
Result:Â Freed-up budget you can redirect toward growth (or your own pocket). We’ve recovered $200 to $800/month in canceled unused subscriptions alone.
Website & SEO technical audit
Before: A signup form hiding three clicks deep. Your best content isn’t ranking. Visitors leave before they find what they came for.
After: We identify conversion killers and prioritize fixes by impact on revenue.
Result:Â More leads from the traffic you already have. No new ad spend required.
Customer path analysis
Before: Pieces of a funnel but nothing connected. Leads enter the top and disappear before they convert.
After:Â We map the full path and show you exactly where it breaks.
Result:Â A clear roadmap for plugging the leaks that are costing you clients.
Business Goal Blockers
After:Â You have a full roadmap of interconnected tools to support your biggest business goals.
Result:Â A clear roadmap for what tools to buy, what to drop, that you can give to your VA or OBM.

Meet Your Marketing Ops Expert
Jen McFarland, MPA
Before I started my business, I spent nearly nine years at the City of Portland as a Business Systems Analyst and Senior Management Analyst. I redesigned the Revenue Bureau’s website with an SEO and customer-centered focus, increasing web traffic 250%.
I modernized tax processing systems, cutting data entry time by 98%. I led the city’s largest Innovation Fund project and managed cross-functional teams of technical and non-technical professionals.
That’s the background behind the Marketing Operations Makeover. Most marketing consultants can tell you which email platform to use (based on their personal favorites). I can audit your entire ecosystem, trace every integration point, find where data is leaking between systems, and give you a roadmap that accounts for both the technical reality and the human capacity to maintain it (based on client and enterprise experience).
I created this engagement because I kept seeing the same pattern: entrepreneurs whose businesses were ready to grow, but whose systems couldn’t support it.

Frequently Asked Questions
Typically 2 to 3 weeks from discovery call to final report delivery. You’ll invest about 30 minutes for the discovery call, 90 minutes for the strategy review, and 30 to 60 minutes for the follow-up. The deep-dive audit itself takes several hours of my time behind the scenes.
That’s more common than you’d think, and it’s one reason this audit exists. Part of the process is inventorying everything you’re paying for. You’d be surprised how many clients discover subscriptions they forgot they had.
You can. We’ve published a detailed guide on decluttering your marketing systems. The trade-off is time and pattern recognition. If you bill $150/hour and spend 15 to 20 hours auditing your own setup, the opportunity cost exceeds the price of this engagement.
No. A Marketing Strategy ($1,500) builds your marketing roadmap: positioning, channels, content, funnel priorities. The Operations Makeover ($2,500) audits your tech stack and systems. Some clients need both. If your strategy is sound but your tools are a disaster, start here. If you don’t have a strategy at all, start there.
The marketing operations makeover is a done-with-you audit and roadmap. For larger organizations, I will rebuild their tech stack as part of a Fractional CMO service (starting at $1,500/mo). Most clients get the custom report and pass it along to a VA, OBM, or developer, which gives them what they need to execute. I will also guide you through the process during a Marketing Coaching engagement.
Your systems should support your growth, not limit it.
The strategy is right. The offer is solid. If the infrastructure underneath can’t keep up, this audit shows you exactly what to fix and in what order.
